A specialist injection clinic may receive plenty of advertising clicks without being able to tell whether the enquiries were suitable or became consultations. Useful tracking is about understanding the operational journey without treating the patient’s clinical information as marketing data. The following measurement framework helps clinic managers reconcile campaigns, phone handling and appointment systems.

For: UK clinic owners and practice managers reviewing marketing and booking performance. Clinical claims, advertising eligibility and processing of patient data should be reviewed with suitably qualified professionals.

Agree on outcome definitions first

Document the difference between a click, call attempt, answered call, qualified administrative enquiry, requested consultation, confirmed appointment and subsequent clinical procedure. These are different events and should never be combined into a single ‘patient gained’ number. A caller asking for directions is not the same as a new prospective appointment.

Audit telephone routing for every location

Confirm that the number shown on each location page and Google Business Profile reaches the correct team. Test tracking numbers, call forwarding, voicemail and out-of-hours messages. Record abandoned call bands and connected calls accurately where the platform supports them, making sure the records reflect the requested reporting window and not a different site’s activity.

Test each website form and booking widget

Submit harmless test enquiries and verify that the correct inbox or booking system receives them. Check mobile and consent states. Record the time until the booking tool is actually interactive, not just the page speed score. If a form has rejected messages, fix its validation and delivery before interpreting the lead trend.

Separate marketing attribution from clinical information

Campaign identifiers, landing-page performance and de-identified event counts may help analyse a channel. Do not put the patient’s condition, medication, symptom description or personal identifiers in advertising-event names, URLs, tags or uploaded datasets. Assess lawful basis, consent and minimisation with the provider’s data-protection lead.

Compare equivalent periods and appointment capacity

Attribution sources may use different lookback windows and data-retention periods. Compare the same dates, hours and clinic locations. Annotate staffing shortages, leave and booking system outages. A quieter diary could reflect changes in call handling or clinical availability rather than a sudden fall in search demand.

Produce a decision-ready weekly summary

For each relevant service and location show spend or organic entry traffic, qualified enquiries, confirmed appointments where available, and issues such as abandoned calls or form failures. Highlight definitions and missing data, and assign an owner to each operational remedy. Agree separately who owns reception, CRM operation and routine performance reviews.

A common clinic-owner question

Can we prove which Google Ads click generated a completed injection? Only where lawful attribution and booking data actually support the link. Avoid suggesting a marketing conversion is the same as an injection procedure.
